What teleconferencing really means
At its simplest, teleconferencing is the practice of holding a meeting through a telecommunications medium. It is a generic term for linking people between two or more locations using electronics, and it covers several distinct technologies that share four common traits: a telecommunications channel, links across multiple locations, two-way interactivity, and active user participation.
For the MICE sector, this matters because each format offers a different balance of cost, complexity, and richness of communication. A small incentive committee reviewing budgets does not need the same setup as a 5,000-delegate international conference. Choosing the right teleconferencing format is a planning decision in itself.
The four main types of teleconferencing
While the broader literature lists six categories, including business television and distance education, the four most relevant to MICE professionals are audio, audiographic, computer, and video teleconferencing. Each has its own use case.
Audio teleconferencing
This is the oldest and simplest form. It is a voice-only system that interactively links people in remote locations via telephone lines, using audio bridges to tie all lines together. The equipment can be as basic as a desk phone, a speakerphone in a boardroom, or an installed audio system in a dedicated conference room.
For event organisers, audio teleconferencing is still the workhorse for pre-event planning calls, vendor coordination, and quick decision-making sessions. It works on minimal bandwidth, costs almost nothing to set up, and reaches participants who may only have a phone line. Its limitations are obvious – no body language, no visuals, and group conversations can get chaotic when too many voices join in.
Audiographic teleconferencing
Sitting between voice-only calls and full video, audiographic systems combine audio with shared visual information. This technology uses narrowband telecommunications channels to transmit visual information such as graphics, documents, and video pictures as an adjunct to voice communication. Think of a presenter speaking on a phone bridge while delegates view shared slides, diagrams, or whiteboard sketches on their screens.
For training programmes, technical workshops, and product demos within MICE events, audiographics offer a practical middle ground. They work even when bandwidth is patchy and still allow visual collaboration. Computer teleconferencing
Computer teleconferencing uses internet connections to link two or more computers, allowing participants to exchange messages, share files, work on documents together, and run collaborative applications. This is the format behind text-based discussion forums, group chats, project boards, and file-sharing platforms used during multi-day conferences.
For exhibitions and large conferences, computer teleconferencing supports things like delegate networking platforms, session Q&A panels, and post-event discussion groups. It does not require participants to be online at the same time, which is helpful when delegates are spread across time zones from Tokyo to Toronto.
Video teleconferencing
Video teleconferencing is what most people picture when they hear the word “virtual meeting” today. It transmits both audio and visual signals in real time, letting participants see and hear each other from different locations. The setup ranges from a laptop with a webcam running Zoom or Microsoft Teams to dedicated telepresence rooms with hidden speakers and large screens that mimic the appearance of physical meeting rooms so that users feel as though they’re interacting in person.
Video is the richest format because it captures facial expressions, gestures, and tone of voice. For keynote sessions, panel discussions, hybrid conferences, and incentive recognition events, video teleconferencing is now the default. It is also the most demanding in terms of bandwidth, equipment, and production effort.
Why teleconferencing transformed the MICE industry
The shift was building for years, but the COVID-19 pandemic accelerated it dramatically. Video conferencing has grown in importance and has become another standard during the pandemic, and it has continued to play a central role even as physical events returned. Several forces explain why.

Hosting a delegate physically means flights, hotels, ground transport, meals, and venue charges. Teleconferencing eliminates most of these for remote attendees. Teleconferencing now appears at every stage of an event lifecycle, not just during the event itself.
Meetings and corporate gatherings
Internal review meetings, board sessions, and client briefings increasingly run on video platforms. Corporate clients booking off-site meetings often request a hybrid setup so that team members who cannot travel can still participate fully. Speaker rehearsals, run-throughs with the AV team, and last-minute briefings all happen over video calls.
Incentive programmes
Even incentive trips, which are inherently about being somewhere special, use teleconferencing for the planning phase. Recognition ceremonies are sometimes streamed so that family members or colleagues at home can share the moment. Pre-trip orientations, safety briefings, and itinerary walk-throughs are routinely delivered over video.
Conferences and conventions
This is where teleconferencing has reshaped the industry most visibly. Hybrid conferences host an in-person audience while simultaneously streaming sessions to virtual delegates. Q&A panels accept questions from both audiences, breakout rooms allow virtual networking, and session recordings extend the life of the content for weeks afterwards. Hybrid events are gaining traction, offering flexible formats that mix virtual and in-person participation, and they have become a standard expectation for medical, academic, and technology conferences.
Exhibitions and trade shows
Virtual exhibition halls allow remote buyers to browse stalls, watch product demos, and chat with exhibitors through embedded video tools. While nothing fully replicates the energy of a physical trade show, virtual extensions help exhibitors capture leads from markets they cannot physically reach.
Educational and training applications
Many conferences include training workshops or certification sessions. Teleconferencing supports distance learning models where instructors lead live sessions for participants in multiple cities. Audiographic and video formats are particularly useful here because they allow instructors to combine spoken explanation with visual aids, demonstrations, and interactive exercises.
The Indian MICE landscape and teleconferencing
India’s MICE sector has embraced teleconferencing as part of its broader growth story. The India MICE market reached USD 110.30 billion in 2024 and is projected to reach USD 183.10 billion by 2033, and a meaningful share of that growth comes from technology-enabled formats. The country’s G-20 Presidency recorded over 200 meetings across 56 cities, with many sessions delivered in hybrid or virtual format to extend participation beyond physical venues.
The Ministry of Tourism’s National Strategy for the MICE Industry, launched in 2022, explicitly recognises technology as a growth lever. New convention centres in Delhi, Mumbai, Bengaluru, Hyderabad, and Varanasi are being built with hybrid event capabilities, high-speed connectivity, and integrated AV systems baked in from the design stage. For event managers entering the industry today, fluency with teleconferencing platforms is no longer optional.
Challenges to keep in mind
Teleconferencing is powerful, but it is not without trade-offs. Video conference fatigue is real – delegates who spend full days staring at screens report stress, reduced focus, and lower engagement. Technical glitches like bandwidth drops, audio echo, and platform crashes can derail a session in seconds. Building genuine networking moments is harder online; the spontaneous corridor conversations that make physical events valuable are difficult to recreate virtually.
For MICE professionals, the takeaway is to use teleconferencing strategically, not as a default. Sensitive negotiations, relationship-building dinners, and high-stakes recognition events still benefit from in-person presence. Routine updates, knowledge-sharing sessions, and broad-reach announcements often work better online. The smartest planners build hybrid programmes where each component runs in the format that suits it best.
Skills event managers need today
Working with teleconferencing in a MICE setting requires a specific skill set. Planners need to understand bandwidth requirements, choose between platforms based on audience size and feature needs, design run-of-show documents that account for both in-person and virtual flow, brief speakers on camera technique, and manage two audiences simultaneously without making either feel secondary. The technical AV partner is no longer a back-of-house supplier – they are a strategic collaborator from the first planning meeting.
