Walk into any modern conference, exhibition, or business meeting and you’ll see screens, scanners, mobile apps, and live-streaming gear quietly running the show. Information and Communication Technology has reshaped how the MICE (Meetings, Incentives, Conferences, Exhibitions) industry plans, sells, and delivers events. But adopting these tools is rarely as smooth as the brochures promise. Behind every successful tech rollout sits a tangle of human, financial, and operational hurdles that event companies must work through. This post unpacks the real-world factors that shape ICT adoption in MICE and what they mean for organisers, staff, and clients.

Why ICT adoption in MICE is more complicated than it looks

MICE is, at its core, an information-intensive service industry. Registrations, schedules, payments, badges, floor plans, lead capture, post-event analytics – almost every touchpoint is now digital. Yet research on tourism and MICE technology has consistently noted that the service sector has historically been slow to embrace digital tools, partly because operators feared technology would clash with the personal touch their guests expect. Studies on information technology in MICE tourism show how the coordination demands of large events make IT both essential and difficult to implement well.

The COVID-19 pandemic forced a sudden leap from physical halls to virtual platforms, and the industry has not fully settled since. A bibliometric review of MICE digitalisation highlights how social and technological shifts continue to reshape event management. Even so, smaller operators, regional convention bureaus, and family-run event companies face very specific friction points when bringing in new ICT tools.

Lack of experience and digital skills among staff

The single biggest barrier to ICT adoption in MICE is people, not platforms. Event coordinators, banquet managers, sales executives, and on-ground crew often learnt their trade through hands-on experience rather than formal tech training. Asking them to suddenly run hybrid event platforms, AI-driven matchmaking apps, or real-time analytics dashboards is a steep ask.

Research on MICE employability skills found that ICT-related abilities such as internet thinking, data analysis, and online marketing are perceived as highly important, yet current graduates often score below expected levels on these skills. The mismatch widens when seasoned professionals who entered the industry decades ago are expected to lead digital projects without targeted retraining.

Why this matters on the ground

When a senior banquet manager cannot navigate the registration dashboard, the load shifts to a small group of “tech-savvy” colleagues. That bottleneck slows decision-making, creates resentment, and discourages further investment. Studies on ICT adoption among MSMEs classify human-resource gaps as one of three core barriers, alongside infrastructure and the technological environment itself. MICE operators, many of whom are small and medium enterprises, sit squarely in that pattern.

The high cost of ICT tools and infrastructure

Event technology is not cheap. A modern hybrid event setup can include a registration platform, a streaming tool, a mobile event app, AV equipment with redundancy, RFID badges, lead-retrieval scanners, and post-event analytics software. Add to that the cost of fast and reliable internet, secure payment gateways, and backup servers.

For large convention centres in metro cities, these costs are absorbed across hundreds of events. For a regional banquet hall hosting 30 to 40 events a year, the same investment can wipe out a season’s profit. Research on ICT adoption challenges for micro and small enterprises repeatedly identifies the prohibitive cost of equipment, telecom services, and software licensing as a primary reason firms postpone digital upgrades.

Hidden costs beyond the price tag

The sticker price of software is only the beginning. Operators must also budget for training time, customisation, integrations with existing booking systems, annual subscriptions, and upgrades. Many small operators discover that what looked like a one-time purchase is actually a recurring expense that grows with attendee count or feature usage. This is one reason ICT adoption tends to plateau after the first wave of investment.

Concerns over job security

Every wave of automation in the events industry – from self-service kiosks at exhibition entrances to AI-driven event chatbots – quietly raises the question: will my role still exist next year? This anxiety is not paranoia. Government research on automation notes that workers performing routine tasks face the highest displacement risk, and many entry-level roles in registration, ushering, and back-office event coordination fall into that category.

A multi-country study on technological disruption and employment found that the perceived threat of smart technology, AI, automation, robotics, and algorithms – sometimes grouped under the term STAARA – directly affects employees’ sense of job security and their intention to stay in their roles. When event staff sense that a new platform is being introduced to “reduce manpower”, they often resist it, slow-walk the rollout, or simply disengage.

How resistance shows up in real events

Resistance is rarely loud. It looks like a senior coordinator who “forgets” to log into the new CRM, a registration team that keeps a parallel paper list “just in case”, or a sales head who avoids recommending an automated lead-capture tool to clients. Each of these behaviours quietly defeats the investment. Smart MICE operators address job-security concerns directly by reframing technology as augmentation rather than replacement, and by reskilling staff into higher-value roles such as data analysis, client experience design, and hybrid-event production.

The need for ongoing support and maintenance

ICT systems are not “set and forget”. Event tech needs constant attention – software patches, security updates, new device pairings, last-minute scaling for a sudden spike in registrations, and 24ร—7 troubleshooting during the actual event. A frozen check-in screen at 8:55 am for a 9:00 am keynote can ruin years of brand-building.

This creates a structural dependency on vendors, in-house IT teams, or third-party AV partners. Operators in tier-2 and tier-3 cities often struggle to find local technical talent who can service specialised event platforms. When the original developer of a niche tool stops supporting it, the operator is left stranded with sunk costs and no upgrade path.

The vendor lock-in problem

Many event companies sign multi-year contracts with platform providers and find it painful to switch later, even when service quality drops. Migrating attendee databases, historical event data, and integration logic from one platform to another is technically demanding and operationally risky. This is why due diligence at the procurement stage – including data portability and exit clauses – matters far more than the demo dazzle.

Privacy and security risks in online transactions

MICE platforms hold deeply sensitive data: attendee passport details, dietary preferences, payment information, corporate hierarchies, dial-in codes, and sometimes confidential agendas of board meetings or product launches. A breach is not just embarrassing – it carries legal liability under data protection laws and erodes the trust that took decades to build.

Virtual events, in particular, opened up a fresh attack surface. Event organisers are now expected to align with data protection laws, manage consent for recordings, and store attendee data with appropriate safeguards. The introduction of India’s data protection framework, the GDPR for European delegates, and similar laws elsewhere means a single international conference may need to comply with multiple regulatory regimes simultaneously. Smaller operators often lack the legal and technical capacity to handle this well, which becomes a real reason to delay or scale back ICT adoption.

Overdependence on technology

The flip side of digital convenience is what happens when the systems fail – or when they succeed so well that human skills atrophy. A coordinator who has always relied on auto-generated check-in lists may struggle to manage a manual fallback when the network drops. A sales team that depends entirely on CRM-suggested leads may lose the instinct for cold outreach and relationship-building.

Research on technology overload at the workplace has documented how excessive ICT use can lead to fatigue, reduced attention, and decision-making strain among employees. In the events industry, where on-the-spot judgement is often the difference between a smooth experience and a public-relations disaster, this matters a great deal.

Diminished personal interaction

MICE has always been a people business. Delegates attend in person to shake hands, exchange cards, share unrecorded conversations, and read the room. Heavy reliance on apps for matchmaking, polling, and discussion can dilute the very thing that makes a physical event valuable. Clients increasingly ask whether the digital layer is enhancing or replacing the human warmth they came for. Striking the right balance is a strategic choice, not just an operational one.

Memory and skill erosion

When directions, names, schedules, and even small calculations are outsourced to apps, professionals may lose the mental sharpness that comes from regular practice. Event leads who once carried a complete floor plan in their head may now need to consult an app for every walk-through. While this trade-off is acceptable in many contexts, it can become a liability during high-pressure moments when the device is unavailable or unreliable.

Putting the factors together

None of these factors exists in isolation. Cost concerns deepen when staff need extensive training. Job-security fears worsen when management is silent about upskilling plans. Privacy risks grow when operators choose cheaper, less secure platforms to control costs. The right way to read this list is as a system, not a checklist.

Successful ICT integration in MICE typically rests on a few practical commitments: budget realistically for tools, training, and maintenance over a three-to-five-year horizon; invest in people through structured ICT upskilling and clear career paths; treat security and privacy as core deliverables rather than afterthoughts; preserve human judgement by designing technology to augment, not replace, on-ground experience; and plan for failure with manual backups and incident-response playbooks.

Operators who navigate these challenges well end up not just running better events – they build organisations that clients trust with their most important gatherings.
