Every piece of information you encounter – from a tourism research paper to a hotel review on a booking app – has travelled through a long chain of hands before it reached you. Information is not born; it is built. Authors create it, editors refine it, publishers package it, database producers organise it, and users finally consume and reshape it. This continuous cycle of creation, processing, and use is what keeps knowledge alive in any society, and it is especially vital in an industry like tourism, where decisions are almost entirely driven by information.

Understanding the cycle of information generation

The generation of information is not a one-time event. It is a cyclic process in which knowledge moves through several connected stages, each adding meaning, structure, and accessibility. Models of scholarly communication describe how primary information flows from producers of knowledge to its eventual users, passing through formal channels (published documents, journals, bibliographic databases) and informal channels (letters, lectures, online discussions, preprints).

At its simplest, the cycle moves through five linked stages: creation, collection, storage, dissemination, and use. The starting point of this lifecycle is the moment data is generated or captured for the first time – through automated systems, surveys, observation, manual entry, or even social media interactions. From there, it is captured, organised, and made available, eventually returning as input for new questions and new research.

What makes this process so fascinating is that it is collaborative by nature. No single actor owns the cycle. Each participant adds value at a specific stage, and each depends on the others for the cycle to keep turning.

The participants who shape information

Information generation involves a wide network of contributors. Understanding who they are clarifies why some information is reliable, why some travels faster than others, and why the same data can look very different in two places.

Authors and creators

Authors are where the cycle begins. They may be researchers writing journal papers, journalists reporting from the field, government statisticians compiling tourism arrival data, or even bloggers sharing travel experiences. Their role is to turn observation, analysis, or imagination into a structured piece of content. In academic and professional contexts, authorship carries responsibility – recent guidelines from the International Committee of Medical Journal Editors stress that human authors remain accountable for everything in a manuscript, including any AI-assisted content, because authorship demands responsibilities that machines cannot assume.

Editors

Editors take raw drafts and shape them for clarity, accuracy, and audience fit. They check facts, request revisions, manage peer review, and ensure that the final text aligns with editorial standards. In the tourism field, editors of academic journals, trade magazines, and government reports play a quiet but powerful gatekeeping role – deciding what gets published, in what form, and with what emphasis.

Publishers

Publishers take edited content and turn it into a usable product – a book, a journal issue, a research report, a digital platform, or even an audiobook. They handle production, distribution, marketing, and rights management. Modern publishers also use analytics tools that show how readers engage with content, including which sections get the most attention, which informs future editorial and authoring decisions.

Database producers

Database producers are perhaps the least visible but most important link in modern information systems. They aggregate, index, and maintain large collections of structured information – bibliographic databases, statistical databases, abstracting services, and citation indexes. They also offer value-added services such as Selective Dissemination of Information (SDI), which sends users automatic updates on new literature matching their declared interests. Without database producers, the world’s published knowledge would be a haystack with no way to find the needle.

Users

Finally, users – students, researchers, planners, marketers, travel agents, tourists – close the loop. They read, apply, question, and share information. Crucially, users are not passive consumers. As analysts of data flows have observed, every consumer can also become a producer in a different context: a tourism researcher who reads a published study may produce a new paper from it; a traveller who reads reviews may post their own; a government official who consumes statistics may publish a policy brief. This producer-consumer overlap is what makes the information cycle truly cyclic.

How the cycle actually flows

Walking through the stages helps make this concrete. The information life cycle is typically described as moving through generation, collection, storage, and dissemination, with use feeding back into generation again.

Generation

Information is created through research, observation, analysis, or creative work. A tourism ministry conducting a visitor survey is generating fresh data; a heritage scholar writing a book chapter is generating new knowledge; a hotel chain analysing booking patterns is generating commercial intelligence.

Collection

Once generated, information must be gathered systematically. Standards for data dissemination insist that producers prepare proper file descriptions, record layouts, and metadata so that the information can be understood and reused later. Without this discipline, even the best data quickly becomes unusable.

Storage

Stored information needs to be organised, protected, and backed up. In libraries, this means cataloguing physical books and digital files. In tourism organisations, this means maintaining databases of property listings, reservation histories, customer profiles, and destination data. Storage is where structure begins to matter – the better organised the storage, the easier the next stage becomes.

Dissemination

This is where information reaches its audience. Modern data producers use web-based portals as the most important tool for sharing statistical information, often combining multiple databases into a single interactive platform. By giving open access, producers also invite correction and replication, which raises the credibility of the data itself.

Use and reuse

Users apply information to make decisions, conduct further research, or create new content. This use generates new questions, new gaps, and new data – feeding back into the generation stage and starting the cycle again.

The transformative effect of information technology

Information technology has not just sped up this cycle – it has reshaped every stage of it. Information technologies are described as the collective term for electronic mechanisms used for the acquisition, processing, analysis, storage, retrieval, dissemination, and application of information. Notice how that single definition covers every stage of the lifecycle. That is not a coincidence – IT now underpins the entire chain.

Faster creation, wider authorship

Digital tools have democratised authorship. A traveller with a smartphone can publish a destination review that influences thousands of bookings. Researchers collaborate across continents using cloud documents. Sensors and IoT devices generate continuous streams of data without human intervention.

Smarter storage and retrieval

Cloud databases, structured query systems, and metadata standards have transformed storage from a passive archive into an active resource. In tourism, intelligent service models integrate personalised databases, favourites, and hyperlinks alongside standard retrieval, dramatically improving how quickly and accurately tourists can find what they need amid information overload.

Instant dissemination

What once took months – peer review, printing, mailing, shelving – can now happen in hours. Preprint servers, open-access journals, news websites, and social media collapse the distance between author and audience. Studies on tourism development confirm that the creation, gathering, storage, retrieval, and transfer functions of ICTs are now vital applications across tourism enterprises, helping the sector cut costs, save labour, and improve service quality.

The rise of smart, data-rich ecosystems

Tourism is now a deeply information-intensive industry. Smart tourism ecosystems are built on integrated efforts to collect data from physical infrastructure, social connections, organisational sources, and human activity, combining all of it through advanced technologies into on-site experiences and business value. The information cycle, once linear and slow, is now a continuous, real-time loop.

Why this matters for tourism

Tourism is one of the most information-dependent industries in the world. Researchers have long noted that IT can generate the knowledge at the centre of a business’s competitiveness in tourism and hospitality, and that consumers now use technology to select, customise, and personalise their travel experiences.

Consider a single tourist trip. A traveller searches a destination on a search engine (database producers), reads a travel blog (authors), checks a guidebook update (editors and publishers), books through an online travel agency (real-time databases and IT systems), and finally posts photos and reviews after the trip (becoming a content creator themselves). Every stage of the information generation cycle is touched in a single journey – and the data they leave behind feeds the next traveller’s search.

This is why tourism professionals, marketers, and policymakers must understand not only what information says, but how it was made, who shaped it, and how technology has changed its flow. Recognising the cycle helps in evaluating sources, designing better information systems, and building services that genuinely meet user needs.

Challenges in the modern information cycle

The same speed and scale that make modern information systems powerful also create new problems. Information overload makes it hard to find quality content. Misinformation can travel faster than verified facts. Smart tourism research warns that data is often captured without careful thought about storage and retrieval costs, and that information governance and privacy now demand serious attention in open, ubiquitous digital environments.

For tourism in particular, this means questions about who owns destination data, how reviews are moderated, how personal travel data is protected, and how small operators can compete in a system where giant platforms dominate information flows. The cycle still works – but its ethics, economics, and governance need constant rethinking.
